To avoid disruptions during the Board Meeting, but to also allow the public to observe the Board Meeting as it is in process, the Watching Room policy has been implemented. This entails:
- A password-protected meeting room will be setup for the Board Members. This password will be relayed by private e-mail to the Board Members prior to the meeting. Individuals with business at the Board Meeting will likewise receive this information in order to attend the meeting and participate when their business is before the Board.
- A Watching Room will be setup for guests, and will be maintained by a Bot such that all comments made during the Board Meeting are relayed to the Watching Room. Comments made by those in the Watching Room will not be relayed back to the Board Meeting.
